Case study
Sales doubled. Profit didn’t. The bank balance knew first.
In 2024 a heavy storm season doubled Emerald Exteriors’ sales. Its founder had assumed profit had doubled, too. But the bank balance was telling him otherwise — and as it turns out, it was right. And with only a few canned AccuLynx reports and QuickBooks statements that never lined up, understanding what to do next was a challenge.
I’d done the coaching. I knew what the numbers were supposed to look like. I just couldn’t get my hands on them without a lot of manual effort that nobody had time for.

The squeeze
- 01Margins keep collapsing as the mix shifts from insurance work to retail.
- 02It has never mattered more to understand your numbers, job by job.
- 03Overhead won’t let you hire the people who would normally figure that out.
In a trade with six-figure invoices, no line of sight into what’s coming in is how a good year quietly turns into a break-even one.
What you get
Four roles you don’t have to hire.
Today your production team works in AccuLynx and your bookkeeper works in QuickBooks, paying bills by what they look like. Nobody connects the two. Safewild installs a finance department between them — defined roles, each with a job — running on the systems you already pay for.
-
AP Clerk
Every invoice and receipt in one place.
Suppliers email one address. Your team photographs receipts and pick tickets. Nothing lives on paper.
-
Job-Cost Coder
Every cost on the right job, same day.
Matched to the job and cost code, posted to QuickBooks — not at month-end, not by guess.
-
Controller
Nothing gets paid that wasn’t authorized.
Every bill paid out of QuickBooks is traceable back to the jobs underneath it — without double data entry in both systems.
-
Analyst
The numbers, already current.
Margin by job, cash tied up, month pace — refreshed from both systems, with nobody exporting anything.
What you’ll know
The questions you’ve been asking — and the ones you haven’t thought to ask yet.
Most owners run the company from the bank balance and memory. Once every invoice, receipt, and job is captured, the questions you can answer are endless.
-
Did the jobs we sold at margin close at margin?
Actual margin on every closed job against what it was estimated at — by job, by month sold, by lead source.
-
How much cash is sitting in unfinished jobs and unpaid invoices?
Work in progress and receivables by job, next to cash, line of credit, and payables from the books.
-
What is the data telling us that nobody was tracking?
How many big-box store runs your team is making — and what that says about your materials order templates. Which lead sources close at margin, not just close. Which vendors’ prices are creeping.
How it works
Two systems updated. Nothing typed in.
AccuLynx supplies jobs, estimates, sales, and leads. QuickBooks supplies costs, cash, payables, and the line of credit. Safewild keeps both accurate and reads them together. That only works if every supplier invoice lands in QuickBooks with the right job attached — so that’s the part we fix first. Data integrity first; insights second.
-
Step 1 · Costs come in
Invoices and receipts enter the pipeline.
Suppliers email one address. Your team scans receipts and pick tickets into one simple place. Nothing depends on paper.
-
Step 2 · Costs get reviewed & coded
Every cost lands in QuickBooks with a job on it.
Everything is read, matched to its job, and lined up in one place for a person to review — every bill, every time. With all the information in one spot, perfectly accurate bookkeeping is easily achieved within minutes per day.
-
Step 3 · Nothing else to do
All your key performance data — current when you look.
AccuLynx and QuickBooks both stay up to date, and the numbers refresh themselves. No exports, no spreadsheets, no extra effort from anyone.
No switching costs
Keep the systems you have. Depend on them less.
AI that amplifies how you already work — not a new whiz-bang with no ROI.
Switching systems costs far more than the software. It’s retraining the team, re-entering history, months of running two platforms side by side, and a year before anyone trusts the numbers again. Safewild skips all of it: it runs on AccuLynx and QuickBooks exactly the way you use them today, and your team does less than before, not more.
And because every invoice, receipt, and job is captured in a form you own, you end up less dependent on any single system, any single vendor, and any single employee who knows where things are.
Who it’s for
You have the data. You have the people. What you don’t have is a data team — and you shouldn’t need one.
- Roofing or exteriors, owner-led, roughly $2M–$15M — and feeling the margin squeeze as the mix moves toward retail.
- Running AccuLynx for jobs and QuickBooks Online for the books.
- Separate people for sales, production, admin, and accounting — who still hand-carry numbers between systems.
- An owner who wants job profitability, cash, and pace on demand — not a software project.
We got billed twice for a $15k materials shipment, and it got paid. That was enough. I built the fix on the systems we already used — and it turned out to be easier for the team than what we had.

Why trust it
AI adopted the practical way: one workflow at a time, tested on real invoices.
Every piece of Safewild ran at Emerald first — on real supplier invoices, real team receipts, real job data — before anyone trusted it. AI reads and matches; a person still checks the exceptions. If a step didn’t save time or catch money, it was cut. You get the version that survived.
- $15k
- the double-bill that started it
- 0
- exports per week
- 2
- systems, none new
About
Safewild isn’t a company. It’s me.
I’m Michelle Cali. Emerald Exteriors hired me as a consultant in 2024. First we made the data honest — the processes, the cost coding, the connection between AccuLynx and QuickBooks — so the numbers could be trusted. Then we used those numbers to right-size the growth plan and put together everything the bank needed to approve an SBA loan for the move into retail.
I stayed on as Emerald’s integrator, and Emerald became Safewild’s first partner. I measure systems work by how much less the business needs me: the structure and visibility got strong enough that Emerald no longer needed a full-time version of my role. That outcome is what I’m offering you.
Before Emerald: I’m a classically trained big-company manager — an MBA from the University of Texas at Austin, with experience in blue-chip companies such as Deloitte, ConAgra Brands, and Werner Enterprises — with a lifelong pull toward entrepreneurship: two businesses built and sold, and contract technology and business consulting across 27 different companies over the last decade. I like putting those skills to work where they change something real, and a roofing or exteriors company is exactly that kind of place.
I’m a newly-minted empty-nester based in Omaha, Nebraska, but working nationwide — with a rolling headquarters in my beloved Starlink-enabled Sprinter campervan.
Capacity
In 2027, I’ll partner with a total of 10 contractors.
Emerald is the first. The limit is real, not a marketing device: I install the cost pipeline in your company myself, I read your exceptions, and I’m the person who answers when a number looks wrong. That doesn’t scale past a handful of partners, and I don’t want it to. I want to work with dedicated owners who are ready to level up — people who’ll put someone on the data, answer a question in a day, and let me fix the cost side before we talk about dashboards. Early partners get lower rates.

What “partner” means
You get the four roles and one real person behind them. I get an owner who’s ready to run the company from real numbers. If it’s not a fit, I’ll say so in the first call.
Pricing
Two ways to run it.
Both start with the same implementation: I install the cost pipeline and the connection between AccuLynx and QuickBooks, fix what’s broken on the cost side, and stay until the numbers are real. Then you choose who keeps them that way. Both options are a one-year agreement.
Implementation · both options
$10–15k one time
Includes everything you need to get it up and running — setup, the connection to your systems, and your team’s training. I expect we’ll catch your first problematic expenses — an immediate payback — before implementation is even finished.
Option A · your bookkeeper
$500 / month
Your bookkeeper or office manager owns the day-to-day review. I keep the system running, check in regularly to make sure nothing has quietly slipped, and stay on call.
Option B · I’m your bookkeeper
$2,500 / month
I handle data quality, the exceptions, and the books. You get the whole finance department without the hire — and the person who built it reading your numbers.
See how it works before you decide.
A 20-minute demo of the whole path: your team’s phone uploads, the invoices coming in and being read, the bookkeeper review screen, the documents filed where they belong, and the standard Safewild dashboard. If it won’t fit your shop, I’ll tell you in the first ten minutes. Early partners get lower rates.
